The Role

We are looking to recruit a secretary responsible for providing administrative and clerical services to ensure effective and efficient operations.

This position will liaise and maintain strong effective communications with external and internal members, and various organizations. This role requires exceptional communication and customer service skills in a fast-paced and high energy environment.

Key responsibilities:

  • Dealing with email, faxes and post, and general Ad hoc duties
  • Screening telephone calls, enquiries and requests, and handling them when appropriate
  • Filing of documents
  • Administer subsidiary and joint venture board meetings, including arrangements, drafting of papers, attendance & minute taking at meetings and post meeting follow-up
  • Making report and settle the expenses, including group members’ travel fee
  • Provide support for conferences and exhibitions
  • Monitor and assist with ongoing and developing governance requirements
  • Handling of confidential agreements

Person specification:

  • Able to use cloud-based meeting portals
  • Good at multitasking and working to tight deadlines
  • Good at report writing and minute taking
  • A strong communicator who is confident working with various internal and external stakeholders
