Receptionist / Office Support Job in Chelsea, London at Todhunter Earle Limited

Chelsea, City of London, Greater London, Full Time £15k - £20k

Duties to include:-

Front Office Front of House:

· Open up in the morning and get the office ready for the working day

· Manage meeting rooms (set up and clear up), greet guests and provide refreshments for meetings

· Supervise the cleaner ensuring he/she works to a high standard, and take responsibility for office tidiness

· Open and distribute all post and deliveries, frank all outgoing mail and post it by 5pm, taking ad hoc items to the Post Office as necessary

· Answer and redirect telephone calls courteously and efficiently

Office Managenment:

Responsible for the smooth running of all aspects of the office

· Monitor levels of and order: stationery, tea, coffee, cleaning supplies, light bulbs and general office food

· Manage designers’ storage areas in the studio and by their desks

· Ensure that the office looks clean and tidy at all times. The cleaners visit in the evenings but the standard of their work needs to be checked and addressed if not acceptable.

· Monitor any large deliveries that come into the office and ensure they are returned or sent to storage in a timely manner

· Organise any office maintenance when needed

· Project manage any office redecorations – painting, re-carpeting and building works

· Organise confidential waste to be shredded

· Order taxis and couriers for designers and directors when needed

· RSVP to all invitations for the Directors

· Update and manage the diary

· Assist with fire maintenance, health and safety and fire alarm drills


The first point of contact for any IT issues in the office, and resolve them if possible.

· Manage all technological problems in the office (including printers) and reporting them to the computer support company if required

· Liaise with computer support company on all areas such as setting up new email addresses, remote log in, security levels, permissions, maintenance, trust certificates, domain names, subscriptions and so on

· Research new computers, software, accessories, and hardware when applicable

· Organise updates for CAD and manage subscriptions


Good working knowledge of Apple software and products is important

· Update, back up, maintain and troubleshoot Directors’ iPhones and iPads, including managing contracts, monitoring bills and transferring data to new devices as required

· Back up photos monthly (from iPhones and iPads) into the system, edit and file

PA work for one Director and her family/children of both a work and private nature, to include:

– booking travel

– keeping personal information/records/spreadsheets up to date

– dealing with contracts

– sorting out technology issues/problems

– organising deliveries

This work takes on average one day of the working week.

· Install all business-related apps

· Organise appropriate handsfree equipment for Directors’ cars

· Import all TEI photos onto Directors’ iPad and iPhone – frequently updated

· Source, set up and maintain the office iPad

We are based in a relaxed studio environment in fashionable Lots Road, Chelsea. Projects range from substantial London properties and English country houses to worldwide villas, chalets, hotels and super yachts.
